
Development & Executive Coordinator
Summary
The Development & Executive Coordinator supports both the development functions and executive operations of the company, serving as a key administrative and coordination resource for the President. This role blends project coordination, clerical support, and light strategic assistance to help advance development and construction projects while ensuring smooth, efficient executive operations.

Key Responsibilities
Development & Project Support

Provide administrative and coordination support for development and construction projects from planning through execution

Track project schedules, milestones, and key deliverables

Assist with the preparation and organization of development materials, contracts, and project files

Coordinate meetings and communications with consultants, contractors, and project partners
-
Support research and due diligence activities related to properties and development opportunities; assemble required materials

Maintain complete and accurate records of critical project documentation in an organized, consistent, and accessible manner
Executive Support
-
Manage the President’s calendar, meetings, and travel logistics
-
Accurately document conversations, meetings, action items, and requests through notes or minutes
-
Draft and respond to emails and correspondence on behalf of the President
-
Anticipate the needs of the President and proactively support shifting priorities
-
Track tasks, follow-ups, and deadlines to ensure executive priorities remain on schedule

Prepare agendas, summaries, and presentation materials

Support the President in external commitments, including service on boards and committees
Administrative & Office Coordination

Assist the President with daily administrative duties encompassing a wide variety of tasks

Maintain organized digital and physical filing systems

Support general office coordination and administrative needs as required

Assist with internal communications and cross-departmental coordination

Help implement and maintain efficient administrative and project-tracking processes

Qualifications
-
Associate’s or Bachelor’s degree preferred, or equivalent professional experience
-
Prior experience in administrative, coordination, or executive support roles preferred
-
Interest in real estate development, construction, or project-based environments
-
Strong organizational, time-management, and prioritization skills with keen attention to detail
-
Excellent written and verbal communication skills; professional, perceptive, and intuitive communicator

Ability to manage multiple projects simultaneously and shift priorities quickly
-
Sound judgment with the ability to make decisions and handle sensitive or confidential information
-
Proficiency in Microsoft Office, familiarity with project tracking tools a plus
-
Familiarity with construction terminology preferred

Self-starter who is organized, flexible, and motivated

Strong problem-solving skills and ability to work effectively across teams

Collaborative team player with strong client and stakeholder alignment
